Frequently Asked Questions
What insurance plans do you accept?
We accept most major insurance providers, including Aetna, Cigna, Blue Cross Blue Shield, UnitedHealthcare, and Tricare. We also support telehealth insurance claims for clients located anywhere in Texas. If your provider is not in-network, we can provide superbills to help you submit claims for possible reimbursement. Before your first visit, our office can help verify insurance eligibility and provide an estimate of any expected out-of-pocket costs. Co-pays, deductibles, and coverage may vary depending on your plan.
Can I receive care through telehealth?
Yes. We provide full psychiatric and therapy services through a secure, HIPAA-compliant telehealth platform. You can complete evaluations, receive diagnoses, attend therapy sessions, and even manage prescriptions—all from the comfort of your home. This is especially helpful for patients outside of Arlington or those with busy schedules, transportation concerns, or mobility issues. Our telehealth system is easy to use and available to anyone living in Texas.
What ages do you serve?
We provide psychiatric and therapy services for children (typically starting at age 5), adolescents, and adults of all ages. Our team includes clinicians experienced in pediatric and adolescent care, as well as adult psychiatry and dual diagnosis support. Whether you’re seeking help for your child, a teen experiencing mood issues, or an adult facing anxiety or depression, we tailor our care to each stage of life.
Do I need a referral to make an appointment?
No referral is required to schedule an initial appointment. However, some insurance plans may require a referral from your primary care provider for coverage purposes. If you're unsure, we recommend checking with your insurance company in advance. Our administrative team can also assist with confirming referral requirements and obtaining documentation if necessary.
What happens during my first appointment?
Your first appointment is typically a comprehensive psychiatric evaluation. This session lasts between 45-60 minutes and includes a detailed review of your symptoms, history, and treatment goals. We may use structured tools or questionnaires to assist with diagnosis. At the end of the session, your clinician will share diagnostic impressions and discuss options for medication, therapy, or lab testing. This visit lays the foundation for your treatment plan.
How do I schedule or cancel an appointment?
To schedule, call us at (682) 219-4077 or email contact@ultimatemindcare.com. If you need to cancel or reschedule, please notify us by 5:00 PM the business day before your scheduled appointment. Cancellations with shorter notice may be subject to a fee. We offer both in-person and virtual scheduling options, and telehealth appointments can be requested in advance by mentioning your preference.
Do you offer therapy as well as psychiatry?
Yes. We provide individual and family therapy in addition to psychiatric evaluations and medication management. Therapy can be combined with medication treatment or provided as a standalone service, depending on your needs. Our therapists are trained in evidence-based modalities and work with adults, children, and families to support emotional health, communication, and coping.
Will I receive a diagnosis at the first visit?
In many cases, yes. Our psychiatrists use clinical interviews, history review, and standardized tools to arrive at a diagnosis. However, some conditions require ongoing observation, additional sessions, or lab results before a final diagnosis is confirmed. Your provider will explain findings and treatment recommendations as clearly as possible during the visit.
Is my information confidential?
Absolutely. All personal health information is kept strictly confidential in compliance with HIPAA regulations. We use secure platforms for telehealth sessions and maintain all medical records securely. Your information is never shared without your written consent, except as required by law or in emergency situations.
